Booking Terms and Conditions

These terms and conditions are a contract between the hirer and Venture Caravans.

Booking Details

Reservations can be made either by:

  • Office: Venture Caravans, The Roe, St Asaph, LL17 0LT

At the point of booking a £200 deposit (non-refundable) is taken to reserve your campervan/motorhome. We will then send you a booking confirmation, via email at which point our contract is binding.

Payment can be made via BACS, or by a payment link.

Hire balance must be paid in full 30 days before hire date. If less than 4 weeks until time of hire, then payment in full will be required, when making the booking.

If our insurers levy an additional premium, we will advise you of this as to how you wish to proceed.

This contract is conditional on our being able to arrange insurance and breakdown cover for your use of the camper/motorhome. If insurance is declined, we will inform you and return your deposit. (See below under Drivers for which drivers are covered as standard by our insurance.)

If the balance is not paid on the due date and we have received no response by email or telephone, then we have the right to cancel your reservation.

Security Deposits

A £750 damage/security deposit must be paid per hire, on a debit/credit card or can be paid by cash on the day of hire.

Please note that the security deposit is not a holding deposit and must be cleared funds before the hirer can take delivery of any vehicle (this is a requirement of our insurance company).

Deposit Terms

  • The vehicle must be returned clean and tidy on the inside.
  • Undamaged on the inside & outside
  • Empty toilet – failure to do this will incur a £150 penalty
  • Full tank of diesel – £2 per litre of diesel if not returned full
  • Without contamination of the fresh water tank
  • We make a careful record of the condition of the vehicle at the beginning of the hire period. The damage deposit will be released on the satisfactory return of the vehicle, being on time and in the same condition it was hired. Deductions will be taken from this deposit in respect of any damage, late returns and equipment replacement costs that are not covered under the insurance policy.

If all the above is adhered to, the deposit will be fully refunded within 10 working days of the end of the hire period, less any costs as detailed below.

  • On arrival back at our depot, we will carry out an inspection of the vehicle.
  • Please note that the security deposit is not a holding deposit and must be cleared funds before the hirer can take delivery of any vehicle (this is a requirement of our insurance company).
  • If applicable, damage or breakage charges will be deducted from your Damage/Security
  • Deposit (see ‘Returns’ section below). In the event of any damage resulting in a valid insurance claim the hirer will be responsible for payment of the insurance excess (£500) per incident.
  • The security deposit will be held until any insurance claim is fully settled.
  • The hirer is responsible for payment of any damage to windows, windscreen or tyres, or for any costs associated with putting the wrong type of fuel in the vehicle and any damage to the roof.

Drivers and licence requirements

You must provide:

  • Copy of the photo card drivers’ licence (address & ID must be up to date)*
  • Online licence check – check someone’s driving licence information. Please note, DVLA licence checks can only be carried out on driving licences issued from mainland UK*
  • Two proof of address from separate sources*
  • Must meet the specified age limits within your policy and have at least 2 years driving experience (Full UK, EU, AU, US, CA, NZ & SA licence types).
    • Two, 3 point convictions are acceptable (i.e. 2x SP30’s, 3pts each) without referral
    • Single 4 point offences are acceptable without referral and subject to standard terms.
    • Single 6 point SP30, SP50 and CU80 convictions are acceptable subject to a £1000 excess. All other 6 points+ offences will require referral to the insurers.
    • No more than one fault or outstanding incident/claim in the last three years.

PLEASE NOTE that the cover provide by our insurers may vary from time to time and without notice.

Insurance

The insurance policy has a £500 excess in respect of each claim. This means that you must pay the first £500 of each claim.

In the event of damage to the vehicle (interior and exterior) or third party property the full £500 will be taken from the hirer to cover the insurance excess of £500.

  • The hirer hereby acknowledges and agrees that the excess or any other amount due by the hirer in respect of any damage arising from an accident, loss or damage is payable at the time of reporting the event and not at the end of the hire period. A charge (loss of rental days whilst awaiting parts) will be charged to, and will be payable by, the hirer.
  • The hirer is responsible to pay the excess of £500.00 regardless of which party is at fault for any accident. The insurance excess is per claim, not per rental.
  • You acknowledge that the excess or other amount due by you in respect of any damage arising from an accident, loss or damage is payable at the time of reporting the event and not at the completion of the rental period, regardless of which party is at fault.
  • You are advised to take out separate travel insurance as no cover is provided for personal possessions.
  • Any damage to tyres, windscreen and any theft or loss of personal effects is not covered by our insurance and shall be at the hirer’s expense.
  • The hirer will be responsible for any damage caused through gross negligence or other actions which cause the insurer to refuse to pay out on the claim.
  • TRAVEL OUTSIDE THE UNITED KINGDOM IS NOT ALLOWED UNDER THESE TERMS AND CONDITIONS. If you wish to do so you must obtain our consent and pay additional charges, including additional insurance charges.
  • We must be notified if the hirer intends on leaving the country and failure to do so will invalidate the hirer’s insurance cover. If the vehicle is taken abroad without prior agreement and fees paid, the vehicle will be classed as stolen and will be reported to the Police. (all Venture Hire Campervans & Motorhomes are fitted with trackers)
  • In the event of any accident, loss or damage arising out of the use of the vehicle, the hirer must:
    • Notify us within 24 hours of the incident occurring.
    • Obtain the names and addresses of third parties and any witnesses and report the event to the nearest police station.
    • Complete an accident form as supplied by us and take photographs of the accident scene and all damage
    • Not make any admission of liability to other parties, settlement offer or any other like offer.
    • Assist us in handling any claim arising from any event, including providing all relevant information and attending court to give evidence.
  • The hirer will pay for any costs relating to the delivery of a changeover vehicle as a result of an accident regardless of which party is at fault. However, if no vehicle is available or our insurers refuse to offer further cover, then the hire will end with no refund of monies being due from us.

Insurance cover will be void if you breach any of the Terms and Conditions of Venture Hire Hire

Use of vehicle

You agree that during the rental period, you will not and will not allow the Motorhome to be:

  • Driven otherwise than in a cautious, prudent and normal manner or used in a manner which could cause damage
  • Driven in a prohibited area or in an area other than the areas indicated
  • Driven by a person under the influence of alcohol or drugs (including prescription if deemed altering) or with a blood alcohol level in excess of that permitted by law
  • Left open or with the ignition key in the vehicle whilst the vehicle is unoccupied
  • Left unoccupied without the TV/DVD covered (if applicable to that vehicle)
  • Driven by persons under the age of 23 years or over the age of 75 who is not authorised by law to drive the Vehicle. Particulars of a proposed licensed driver of the Vehicle are set out under the heading ‘Hire’s name/ contact’ on the Rental Agreement
  • Damaged by: Submersion in water, contact with Salt Water and sand
  • Used for any illegal purpose for any race, rally or contest
  • Used to tow any vehicle or trailer
  • Used to carry passengers or property for hire or reward
  • Used to carry more persons than is permitted by any relevant authority or in the Vehicle manual or on the Vehicle or specified in this agreement
  • Used to carry volatile liquids, gases, explosives or other corrosive or inflammable material
  • Otherwise used in breach of obligations under this Agreement

Cancellations and no show

All cancellations must be in writing or by email, quoting the booking reference number.

  • If you cancel your confirmed booking more than 6 weeks prior to commencement of hire you will forfeit your booking deposit.
  • If you cancel you booking between 6 and 2 weeks prior to commencement of hire, you will be charged 75% of the total hire cost.
  • If you fail to show up or cancel less than 2 weeks prior to commencement of hire, you will be charged the full hire cost.

Please ensure you have the correct holiday insurance to protect yourself from any of the above situations.

Vehicle collection and return

Collection time is 2pm – 4pm unless otherwise agreed Please be on time for your vehicle collection and allow up to one hour for a full vehicle induction, during which time we will demonstrate full, proper and safe use of the vehicle systems and equipment. All drivers must be present at collection.

Return is 11am – £50 per hour for late returns

Responsibility

Venture Hire have taken all steps required to ensure all their campervans/motorhomes are safe and meet standards required.

All the campervans/motorhomes have an up to date MOT, servicing and habitation checks and are fit for purpose.

Any accidents while driving or in the habitation spaces are the responsibility of the hirer and Venture Hire will not be held liable.

Your safety during your hire period is your responsibility.

Parking and speeding fines whilst on hire are also your responsibility and any correspondence will be forwarded to you if it relates to the hire period. We reserve the right to notify all relevant authorities of your name and address where any such correspondence is received.

The vehicle insurance does not cover personal items. The hirer is advised to take out personal travel insurance for any potential personal losses.

The motorhome must not in any circumstance exceed the speed limit of 70mph as the motorhome will be unstable at this speed.

The motorhome is fitted with an alarm and a tracker.

Drivers

All our vehicles engines are checked/inspected before handover, all fluid levels will be correct,

The hirer is responsible for checking oil and water levels during the hire.

Drivers must stop immediately if the vehicle appears to be overheating or if a red warning light appears. Any damage caused by you failing to do this will be charged for.

Force Majeure – circumstances beyond one’s control:

We will make every effort to ensure that the campervan/motorhome you reserved, is available for collection by you at the correct time. If, due to circumstances beyond our control, this is not possible, we will provide a campervan/motorhome, that is similar, if one is not our liability is limited to the refund of all monies paid by you.

Gas

You will be provided with a full bottle of gas at the start of the hire. Please take note of all safety notices relating to use of the gas.

Car parking

The hirer is welcome to leave their car (normally 1 vehicle per hire), free of charge, in our gated yard at Venture Hire for the duration of the hire. However, vehicles are left at their owner’s risk. Venture Hire will not and cannot be held responsible or liable for any damage caused to the vehicle whilst it is parked at the yard.

The hirer must lock and secure the vehicle and remove any personal items and retain their vehicle keys

Fuel

  • All of our vehicles run on diesel fuel.
  • The vehicle must be returned with the same amount in the tank as departure.
  • Any fuel required on return will be charged at £2 per litre

YOU WILL LOSE YOUR HOLDING DEPOSIT, PLUS YOU WILL BE LIABLE FOR ANY COSTS IF YOU REFUEL THE VEHICLE WITH THE WRONG FUEL ONLY USE DIESEL!

Animals

Well behaved dogs are welcome in most of our campervans/motorhomes. If you would like to take your dog we ask you to pay for the motorhome to be valeted after use – this is a one off charge of £50. Dogs are not allowed on the seats or beds, any evidence of this will result in additional cleaning fees.

Smoking

All our vehicles are non-smoking vehicles. Venture Hire reserves the right to charge a fine should smoke be detected. This includes the use of e-cigarettes in the vehicle.

Covid-19

Please look at the local Government rules for both your area, the area you are travelling to and the county of Denbighshire. If you are prevented from travelling because of lockdown, we will happily give you 12 months to rearrange your trip.
If you have to cancel due to contracting Covid, you will have to claim on your travel insurance and it will be Venture Hire discretion as to whether the booking is refunded or transferred to another date.

Privacy Policy

Except as mentioned above in relation to Road Traffic Offences or Parking Penalties, we will not sell, share, or otherwise distribute your Personal Data to third parties. Personal data will be processed in accordance with applicable local law and regulations regarding data privacy.

Charges & Damage

An Administration fee of £25.00 will be charged for every amendment of a confirmed booking or in relation to any Road traffic Offence or penalty charge notice.

Drivers are liable and required to pay all legal penalties including all parking tickets, congestion charges, speeding fines etc which are incurred during the hire period

Security

Whilst the vehicle is in your care, you are responsible for ensuring that all reasonable precautions are taken against damage to, or theft of or from the vehicle.

  • When you leave the vehicle, ensure all windows and rooflights are closed, doors are locked and you have the keys.
  • Do not give the keys to anyone else or permit unauthorised persons to drive the vehicle.
  • Your insurance does not cover theft from the vehicle if: The vehicle has been left unlocked.
  • The keys and have been left in it Windows and or doors have been left open You have allowed someone to drive it and they take it away
  • do not leave valuables on display
  • Do not leave TV/DVD on display (if applicable)
  • Do not leave the vehicle in a vulnerable position, such as on a junction or street corner, poorly
  • lit or unsuitable areas.

Base Vehicle (Chassis) Breakdown

All our motorhomes and campervans come with breakdown cover. Please refer to the manual for contact number and procedure.

Habitation Equipment or Accessory Breakdown

In the first instance, please contact us so that we may establish whether the problem can be resolved during the hire period and advise you what to do. This may mean a visit to a Motorhome dealership or repair centre. Reasonable agreed costs, supported by a VAT receipt, will be reimbursed but please do contact us for authorisation first. Do not attempt DIY repairs.

Amendments

These Terms & Conditions may be amended at any time without notice.

If an amendment is made prior to the commencement of hire you will be issued with revised Terms & Conditions.

We reserve the right to:

  • Vary rates and conditions at any time
  • Refuse to hire to any person(s) for any reason and not to hand over the vehicle if we believe the hirer is not suitable for any reason.
  • Terminate the contract and repossess the vehicle at any time due to breach of these terms and conditions, misuse, damage or accident.

The hirer accepts that Venture Hire’s decision on any issue in relation to these terms and conditions is final.

Safe & Legal Use

The hirer and all additional drivers are responsible for the safe and legal use of the vehicle on hire.
